Add visitor details to agreements

Fields such as {visitor_name} or {host_name} in an agreement are replaced with each visitor's details on the kiosk, on the touchless and pre-registration pages, and in the signed PDF.

1
Open the agreementIn Configuration → Visitor Agreements and Induction, add or edit an Agreement Text. You can also open it from a visitor type's agreement settings — then the field list includes that visitor type's own questions.
2
Insert a fieldPlace the cursor where the detail should appear, choose Insert field above the editor and pick the field. Search by name, for example "host" or "company". Writing the agreement in Word? Open Available fields under the editor, click a field to copy it and paste it into your document before you paste the document in.
3
Fields you can useType a field with single or double braces — {host_name} and {{host_name}} both work. Names aren't case-sensitive.
General fields
{visitor_name} Visitor's full name
{first_name} First name
{last_name} Last name
{email} Visitor's email
{phone} Visitor's phone
{visitor_company} Visitor's company (the Business name question)
{host_name} Host / escort
{host_email} Host's email
{visit_reason} Visit reason (the visitor type)
{checkin_time} Check-in date and time
{checkin_date} Check-in date
{visit_id} Visit reference (signed PDF)
{location_name} Your location's name
{location_address} Your location's address
{kiosk_name} Kiosk the visitor used ("Web check-in" online)
{agreement_name} This agreement's name
{valid_until} When the visitor must sign again
4
Use your own questionsEvery question on the visitor type's sign-in form can be used too — Insert field lists them by question. Answers appear as the visitor chose them, for example "Yes" or "Yes, United States citizen". Photo and ID capture questions can't be used.
5
Preview before you saveChoose Preview to see the agreement with sample details. Anything still shown in braces isn't a field we recognize: it appears exactly as typed. When you save, you'll see which ones and a suggestion, for example {kiosk_id} → did you mean {kiosk_name}?
6
What's kept in the signed agreementThe signed PDF on the visit has the agreement with every field filled in, the visitor's signature, and the actual check-in time. The details that were filled in are stored with the visit, next to the original agreement text. Visitors who receive a copy by email get the same PDF.

Frequently asked questions

What if a visitor leaves a field empty?

That spot is left blank — the rest of the agreement is unchanged.

Do fields work in other languages?

Yes. Keep the field names in English ({host_name}); they're never translated. The values follow the visitor's language where they have one, such as the visit reason and Yes/No answers.

What do visitors see on the touchless and pre-registration pages?

The same agreement with their details filled in. The check-in time shows when they sign, {kiosk_name} reads "Web check-in", and the host's email is left out on these public pages. The signed PDF is created with the actual check-in time when they scan in at the kiosk.

We already use {visiting_user} and {company}. Do they still work?

Yes. {visiting_user} is the host and {company} is your location's name — the same as {host_name} and {location_name}.

Our kiosk shows the field names instead of the details.

Update the kiosk app to the latest version. The signed PDF is filled in either way.
